Unified inbox

One inbox for
Airbnb and Vrbo.

Every message from both platforms, threaded per guest, with the booking sitting next to it. Reply once, from one screen, without switching apps.

Why hosts switch

Laurie saved $4,000 last year when he switched to Host Port.

“I was paying hotel money for software I needed a training call to understand. Host Port does the same job for a fraction of it. One calendar, every channel, and nothing I have to think about on a changeover day. Moving all four took less than an hour to do.”

The tab-switching problem

Two platforms means two places a question can go unanswered.

Both Airbnb and Vrbo score you on how fast you answer, and both count it separately. The message you miss is almost never the one you were looking at, it is the one in the app you had closed.

Two tabs
  • Two apps, two sets of notifications
  • A question answered on one platform while the other sits unread
  • Response time counted separately by each, and it affects both rankings
  • Reservation details in a different screen from the conversation
One inbox
  • One list, both platforms, newest first
  • One unread count that means what it says
  • Reply in the same box regardless of where they booked
  • The booking sitting beside the message you are answering
Threaded by guest, not by platform

The answer is usually in the booking.

Nearly every guest question turns on a detail of their stay, which nights, how many of them, what they paid. So the reservation sits beside the conversation rather than two screens away.

If someone else answers guests for you, the money lines can be hidden from them while the rest of the panel stays visible, that is covered on the property management inbox.

Writing the reply

Small things, forty times a week.

The inbox is where you spend the minutes. These are the bits that give them back.

Spellcheck that knows where you are

An Australian dictionary running in the browser, so “realise” and “neighbour” are not underlined and “Airbnb” and “aircon” are not either. Nothing is sent anywhere to check it.

On the web app.

Photos, when a sentence will not do

The gate, the meter box, which bin goes out on Tuesday. Attach a picture and it goes into the thread, click it to open it full size.

Delivered in-platform on Airbnb and Booking.com threads.

Receipts, so sent means sent

Accepted, delivered, opened. A bounce is marked as failed with the reason attached, instead of sitting in a sent folder looking perfectly fine.

On messages that go out as email.

A draft when you are staring at it

Suggest a reply writes an answer from the replies you have already sent, with the real availability and rates in front of it. It fills the box and stops, you still press send.

On your phone

Most of these get answered away from a desk.

The app is not a cut-down version of the website. For finding something it is the better of the two, its search reads inside the conversations themselves, which the web app does not yet do.

In the app

  • Search that reads inside the conversations, not just the guest names
  • A searchable listing filter with an unread count against each one
  • Camera or library, so the photo does not need a trip to the desktop
  • Push and email alerts, with quiet hours you set
Getting connected

Most of it connects on its own.

Airbnb, Booking.com and your direct bookings start threading the moment the channel is connected. Vrbo takes one extra step, and we would rather walk through it with you than leave it in a help article.

Airbnb
Connects itself, Automatic

A direct channel connection. The conversation exists from the moment the booking does, and you can write first.

Booking.com
Connects itself, Automatic

The same direct connection, with replies delivered back inside Booking.com.

Vrbo
One-time setup, Needs setup

Vrbo messaging takes a quick one-off setup on your account before conversations start flowing. Get in touch and we will sort it with you.

Your direct bookings
Connects itself, Automatic

Branded email from your own booking page, with replies routed straight back into the thread.

Setting up Vrbo messaging takes a few minutes with us on email, write to contact@hostport.co and we will get it running.

The inbox is not the paid part and nothing in it is locked. What you are paying for is the channel connection on a listing, which is what brings its Airbnb and Booking.com conversations in.

Common questions

Do replies go back through the right platform?

Yes. You type in one box and the message is delivered through whichever channel that guest booked on, so the conversation stays where they expect to find it. You are never asking a guest to switch to email.

Does the inbox cost extra?

The inbox itself is not a paid feature and nothing inside it is locked. What $10 per listing per month buys is the channel connection for that listing, and it is that connection which brings Airbnb and Booking.com conversations in. On free, the inbox carries your direct-booking conversations.

Does it cover channels other than Airbnb and Vrbo?

Booking.com arrives through the same direct connection as Airbnb, and your own direct booking page threads into the inbox as branded email with replies routed back. Those four are what the inbox carries today.

Can I see the booking while I am answering?

Yes, dates and the number of nights, guest count, what you are being paid and when it was booked, in a panel beside the conversation. On an enquiry it shows the quoted total, and you can accept or decline without leaving the thread.

What about on my phone?

The mobile app is the stronger of the two for searching. It looks inside the messages themselves rather than only at guest and property names, and the listing filter has its own search with an unread count against each property.

Is anything about Vrbo different?

Day to day it behaves like the others, threaded per guest, replies from the same box, the reservation beside it. The difference is at the start: Vrbo messaging needs a quick one-time setup on your account, and we would rather do that with you than leave you to it. Email contact@hostport.co and it takes a few minutes.

I have more than a couple of properties. Is this still the right page?

Probably not the whole story. If you have a portfolio and someone else helping you answer, the thing you will care about is who can see what, that is covered on the property management inbox page.

Running more than a couple of places, with someone helping you answer? The property management inbox covers permissions and team access.
