Is free enough for your property?

There is a real answer to this and it is not “upgrade”. Two guests can only book the same night if they do it inside the window where the calendars disagree. So the question is simply how contested your nights are.

Free is the right answer

  • Stays are separated by gaps rather than stacked back to back
  • Bookings arrive days or weeks ahead, not hours
  • You are on two or three channels and set prices by hand anyway
  • A shoulder season where half the month is open

Two guests can only collide if they book the same night inside the refresh window. If your nights are rarely contested, the lag has nothing to act on, and paying to close a gap that never opens is just paying.

The big three, free

Airbnb, Booking.com and Vrbo all publish and read calendar feeds, so a holiday let can keep all three in step without paying anyone. This is the setup most owner-operated properties run.

And the ones nobody builds integrations for

Riparide, Luxury Escapes, a regional holiday-let site, a tourism board listing, if it publishes a feed, it syncs. There is no approved-partner list to be on the wrong side of.

The direct connection covers six platforms. iCal covers anything with a feed, which for holiday lets is a longer list. Plenty of owners end up running both: paid on the channels that have it, free iCal for the niche site that fills their midweek.

Five things free will not do for you.

None of these are switched off to make you upgrade. They are what a calendar feed is: a file of dates, read on a timetable.

  • Rates do not travel

    Set a nightly price here and it stays here. On free you are still pricing each channel in its own extranet.

  • Stay rules do not travel

    Minimum and maximum nights, and how far ahead someone can book, are set per channel rather than pushed from one place.

  • A booking arrives as dates only

    You get the nights blocked. The guest name, the party size and the money are on the platform, not in your calendar.

  • Platform messages stay on the platform

    Airbnb and Booking.com messages need the direct connection to reach the inbox. Enquiries through your own booking page arrive on free.

  • Speed is two schedules, not one

    We read your feeds every 15 minutes. Each platform reads ours whenever it chooses to, its clock, not ours. The two stack.

Behind the free route sit guards worth knowing about: nothing is cancelled on a single missed read of a feed, a feed that suddenly drops many events is treated as suspect rather than believed, and coverage is checked night by night rather than by trusting the identifiers a platform hands us. They make iCal survivable. They do not make it instant, and we are not going to pretend otherwise.

Four steps, and the first one is the one that matters.

Setting up free sync is pasting links in both directions. Nothing here is hard, but step one is the only one that can cost you money if you skip it.

    Block what is already sold

    Before a single feed is connected, close the nights you have already taken on other channels. Migrating an open calendar is the one way to create a double booking on day one, and it is entirely avoidable.

    Paste each channel’s feed in

    Airbnb, Booking.com and Vrbo each publish a calendar link from their own calendar settings. Add them one per channel and your existing stays appear here.

    Hand your feed back to them

    We publish a feed of your whole calendar, which each platform subscribes to. This is the half people forget, and without it the sync only runs one way.

  4. 04

    Check it the next morning

    Feeds are read on a schedule rather than instantly, so the honest test is the next day, not the next minute. If a stay is missing then, something is wrong and worth telling us about.

A holiday let is not equally contested all year. The weeks where two guests could plausibly book the same night are usually a season, a school holiday and a long weekend or two, and the rest of the year a calendar feed is perfectly adequate.

The paid connection is billed per listing per month and counts only the listings you have switched on, so you can turn it on for the months that are actually busy and sit on free sync for the ones that are not. Nobody in this category will tell you to do that. It is still the right way to run a seasonal property, and it costs us the difference.

Is there a genuinely free channel manager for vacation rentals?

Ours is, on iCal, for unlimited listings, with no credit card and no trial clock. It keeps Airbnb, Booking.com, Vrbo and any other site that publishes a calendar feed in step, and gives you one calendar across all of them plus a commission-free booking page. What it does not do is move prices or land instantly, those are the trade, and the section above is about whether that trade matters for your property.

How many properties can I put on the free plan?

As many as you have. There is no listing cap, no cap that appears at property four, and no card required at any point. The limit on the free plan is the sync method, not the size of your portfolio.

Which channels work on the free plan?

Airbnb, Booking.com and Vrbo, plus anything else that publishes an iCal feed, Riparide, Luxury Escapes, regional holiday-let sites and so on. That is genuinely a longer list than the direct connection reaches, because a feed needs no integration on either side.

Is a free channel manager safe for a holiday let?

It depends on one thing: whether two guests could realistically book the same night inside the refresh window. On a property with gaps between stays, that window has nothing to act on. On one that sells out peak weekends, it does. We have put guards behind the free route, nothing is cancelled on a single missed read, and a feed that drops a lot of events at once is treated as suspect rather than believed, but guards make iCal survivable, not instant.

Do I get a direct booking page on the free plan?

Yes, one for every listing, and we take 0% of what it earns. It lives at hostport.co with your own listing address, we do not do custom domains, and would rather say so here than have you find out after moving your marketing across.

Is the guest inbox a paid feature?

No. The inbox is on the free plan, and enquiries and messages from your own booking page arrive in it. What the paid connection adds is Airbnb and Booking.com conversations landing in the same place instead of in each app.

Can my cleaner have access without paying more?

Yes. There is no seat limit and no per-person charge on either plan. A cleaner login sees the calendar and the notes with every dollar figure hidden, which is usually exactly what you want them to have.

Can I pay only for the busy season?

Yes, and for a seasonal property it is often the right way to run it. The paid connection is billed per listing per month and you can turn it on and off, so a summer let can pay for the months that are actually contested and sit on free sync the rest of the year.

How do I sync Airbnb and Vrbo for free?

Both publish a calendar feed and both can subscribe to one. Add each channel’s link here, then give each channel the feed we publish back, and the two stay in step without either of them talking to the other directly. The order matters more than anything else: close your already-booked nights before you connect, or the first thing the sync does is advertise dates you have already sold.

Do I need a channel manager for one holiday let?

For one property on one channel, no. The moment there are two channels, something has to keep them honest, and doing that by hand is fine right up until the evening you forget. That is the job free iCal does well: it is not fast, but it never forgets.

What is the catch?

That iCal carries dates and nothing else, and each platform refreshes on its own timetable. That is the whole catch. We make money when someone chooses to upgrade a listing because its calendar got busy, not by putting a clock on the free plan.

Will you start charging me later?

Not for what the free plan does. Upgrading is a thing you choose per listing, not something that happens to you when a trial quietly ends.

What happens to my data if I never pay?

Nothing. Your listings, bookings, calendar history and messages stay yours and stay readable, with no export fee and no read-only mode. Plenty of hosts run the free plan indefinitely, which is the intended use rather than a loophole.
